Quick start
- Add one or more PDFs from the document menu or drag them into PDFind.
- Select the destination cell in Excel.
- Drag around text in the PDF, or double-click a word or number.
- Select a PDFind cell later to return to its highlighted source.
Viewer controls
- File name
- Switch PDFs, add multiple files, or open workbook PDFs from Microsoft 365.
- 1 / 10
- Shows the current page. Edit the first number and press Enter to jump.
- − / +
- Zoom out or in. All pages remain vertically scrollable.
- Table
- Draw around a table, edit the preview, then insert it from the active Excel cell.
- Templates
- Under i, teach fields on one PDF and extract them from all similar PDFs attached to this workbook.
- Undo
- Undo the latest PDFind action in one step, including value, format, cell color, link, and PDF highlight.
- ✓
- Show or hide every Excel-cell source highlight in the PDF.
- Search
- Search every PDF attached to this workbook. Results open the matching file and exact page.
- Colors
- Choose the color used for new Excel cells and their PDF source boxes.
Recognition and Excel
- Digital PDFs use their exact text layer first; scans use English and Polish OCR in the PDFind task pane.
- Dates, percentages, Polish amounts, accounting negatives, and common currencies are converted to usable Excel values.
- Numbers with a leading zero, such as 0147, stay as text.
- Tables keep a separate PDF source for every non-empty imported cell.
- Template results are reviewed as green, yellow, or red before insertion, and every detected value keeps its own source.
- PDF links follow their cells when Excel rows are inserted or moved.
Files, privacy, and sharing
- PDFs are attached automatically to storage assigned only to the current workbook.
- Reopening the workbook restores only PDFs attached to that workbook.
- The Microsoft 365 edition keeps files in the customer's OneDrive or SharePoint App Folder.
- PDF rendering and OCR run in PDFind. PDF pages are not sent to PDFind infrastructure.
Important notes
- Use PDFind's Undo button. Excel's native Undo cannot remove PDFind source links.
- Scanned pages are indexed automatically in the background after a PDF is added.
- Irregular tables may need corrections in the editable preview.
